Terms you'll meet along the way

Making Tax Digital (MTD)

HMRC's regime requiring digital records and software-filed returns — long mandatory for VAT, arriving for Income Tax from April 2026.

Flat Rate Scheme

Pay HMRC a fixed percentage of turnover instead of tracking every input. Simpler, but the 16.5% limited-cost-trader rate killed the old easy win for many.

Input vs output VAT

Output VAT is what you charge customers; input VAT is what you pay suppliers. You hand HMRC the difference — which is why missed input claims are pure loss.

Penalty points

Each late VAT return earns a point; at your threshold (4 for quarterly filers) every late return costs £200. Points expire after sustained good behaviour.

Reconciliation

Matching your books to the bank, transaction by transaction — the discipline that makes every other number trustworthy.

Chart of accounts

Why don't my sales reports match my bank deposits?

Because platforms deposit settlements: gross sales minus commission, fulfilment fees, advertising, refunds, reserves and adjustments — often across overlapping periods. Booking deposits as revenue understates sales and hides your true fee burden. We reconcile from settlement reports, which is the only version HMRC and lenders respect.

How does VAT work when the marketplace collects it?

For many B2C sales (especially overseas sellers into the UK, and UK sellers into the EU via IOSS), the marketplace is deemed supplier and collects the VAT — but your own registration, your B2B sales and your direct-website sales follow normal rules. Mixed channels mean mixed treatments on one VAT return; mapping that correctly is the core of e-commerce VAT.

Do platforms report my sales to HMRC?

Yes — digital platform reporting rules require marketplaces to send seller income data to HMRC annually. Casual-seller thresholds are low. If your reported turnover and your filings disagree, expect a nudge letter; if you're behind, regularising proactively is far cheaper than reactively.

Amazon already collects VAT on some of my sales — what's left to do?

Marketplaces collect VAT in specific cases (like overseas sellers' UK sales), but UK-established sellers still account for VAT on most sales, reclaim input VAT, and must report everything correctly. Mixing up 'marketplace-collected' and 'seller-collected' revenue is the most common e-commerce VAT error we fix.

Why don't my bank deposits match my sales?

Because marketplaces deposit net settlements — sales minus fees, refunds, reserves and adjustments, across date boundaries. Proper e-commerce bookkeeping reconciles the settlement reports, not the bank line. That's exactly what we do monthly.

When do I have to register for VAT?

When your taxable turnover in any rolling 12-month period passes £90,000 — a rolling test, not your accounting year, and the most common way businesses get caught out. We monitor it for bookkeeping clients automatically.

Which VAT scheme is best for me?

It depends on your margins and customers. The flat-rate scheme suits some service businesses; cash accounting helps if customers pay slowly; standard suits most. We'll compare them for your numbers before registering you.

Which bookkeeping software do you use?

Xero, QuickBooks or FreeAgent — whichever suits your business (or whichever you already use). Software subscription can be included in your monthly fee, and we handle all the setup and migration.

What counts as a transaction?

Each line on your bank statement — a payment in or out. Most one-person businesses sit comfortably under 50 a month. If you drift over your band we'll tell you before the fee changes, never after.

My company hasn't traded — do I still need to file?

Yes. Even dormant companies must file accounts at Companies House and usually a confirmation statement. Our dormant package (£99) handles it all so you avoid penalties for a company that isn't even trading.

Which accounting standard will my accounts use?
