Accountants for chauffeurs
Chauffeuring sits a tier above general private hire in every financial dimension: premium vehicles with serious finance and depreciation, corporate clients who expect invoices and sometimes VAT registration, airport contracts, and day rates that make the company-versus-sole-trader question live earlier than it does for most drivers. The accounting should match that tier.
How we handle it
We handle chauffeurs at both scales — the owner-driver whose S-Class is a five-figure annual cost worth claiming correctly, and the small fleet with employed or subcontracted drivers, corporate accounts and VAT. Fixed fees either way, with the structure question (sole trader, company, VAT voluntary registration for corporate credibility) answered on your actual numbers.

Terms you'll meet along the way
Statutory accounts
The formal year-end accounts every company must file at Companies House — publicly visible, prepared to FRS standards.
FRS 105 / FRS 102 1A
The two accounting standards small UK companies use: FRS 105 for micro-entities (minimal disclosure), FRS 102 1A for small companies (fuller picture).
CT600
The corporation tax return filed with HMRC alongside a tax computation — due 12 months after year end, though the tax is due at 9 months and a day.
Accounting reference date
Your company's official year-end date, set at incorporation (changeable within limits). Accounts are due 9 months after it.
Making Tax Digital (MTD)
HMRC's regime requiring digital records and software-filed returns — long mandatory for VAT, arriving for Income Tax from April 2026.
Flat Rate Scheme
Pay HMRC a fixed percentage of turnover instead of tracking every input. Simpler, but the 16.5% limited-cost-trader rate killed the old easy win for many.
Input vs output VAT
Output VAT is what you charge customers; input VAT is what you pay suppliers. You hand HMRC the difference — which is why missed input claims are pure loss.
Penalty points
Each late VAT return earns a point; at your threshold (4 for quarterly filers) every late return costs £200. Points expire after sustained good behaviour.
Accountants for chauffeurs: your questions answered
My vehicle costs are huge — how do I claim them properly?
For premium vehicles, actual costs almost always beat the mileage rate: business proportion of finance interest, insurance, servicing, tyres, cleaning and depreciation through capital allowances. Emissions affect the allowance rate on purchases. This single decision is often worth four figures a year at chauffeur-level costs — it deserves real calculation.
Should I register for VAT to look right for corporate clients?
Sometimes, even under the threshold: corporate clients reclaim your VAT (so it doesn't raise their true cost), registration signals establishment, and you reclaim VAT on fuel and vehicle costs. Against: private customers feel a 20% rise. Client mix decides — mostly corporate says yes; mixed says model it first.
Limited company or sole trader for a chauffeur?
The usual profit thresholds apply (worth discussing from ~£30–40k), plus two chauffeur-specific factors: corporate clients sometimes prefer contracting with companies, and vehicle ownership inside a company changes the maths — cars in companies trigger benefit-in-kind unless dealt with correctly. We map your setup before recommending.
Do sole traders legally need accounts?
There's no Companies House filing for sole traders, but you must keep records supporting your Self Assessment — and proper accounts almost always save more tax than they cost, because expenses stop slipping through the cracks.
What expenses can I claim?
Anything wholly and exclusively for the business: materials, tools, mileage or vehicle costs, phone, insurance, home-office use, software, professional fees and more. Our job is claiming everything legitimate — clients are usually surprised by what they'd been missing.
My company hasn't traded — do I still need to file?
Yes. Even dormant companies must file accounts at Companies House and usually a confirmation statement. Our dormant package (£99) handles it all so you avoid penalties for a company that isn't even trading.
Which accounting standard will my accounts use?
Most small companies file micro-entity accounts under FRS 105 or small-company accounts under FRS 102 Section 1A. We pick the right one for your size and circumstances — it affects what's disclosed publicly at Companies House, and we'll explain the trade-offs.
When do I have to register for VAT?
When your taxable turnover in any rolling 12-month period passes £90,000 — a rolling test, not your accounting year, and the most common way businesses get caught out. We monitor it for bookkeeping clients automatically.
Which VAT scheme is best for me?
It depends on your margins and customers. The flat-rate scheme suits some service businesses; cash accounting helps if customers pay slowly; standard suits most. We'll compare them for your numbers before registering you.
What does the £129 fee include?
Preparation and online filing of your full SA100 return, including the supplementary pages your situation needs. If your return is more complex — rental income, capital gains — the packages above show the fixed price, and we confirm it in writing before starting.
I've missed the deadline — can you still help?
Yes. Late returns are common and fixable: we prepare and file the outstanding return quickly, and where there's a reasonable excuse we help you appeal penalties. The sooner it's filed, the sooner the penalties stop growing.
