Accountants for taxi drivers

Driving for Uber, Bolt or a local firm makes you self-employed with a specific tax shape: app statements that don't match bank deposits (commissions and fees netted off), a vehicle that's your biggest cost with two competing ways to claim it, and platforms that now report your income directly to HMRC. Get the vehicle-claim decision right and it's often worth hundreds a year.

How we handle it

Our driver returns start at £129: platform statements reconciled properly, the mileage-versus-actual-costs comparison run on your real figures (fuel, insurance, repairs, or the flat 45p/25p per mile — whichever wins for you, applied consistently), and the airport runs, cleaning, licence and phone costs all claimed.

How it works

From first message to done

1. Tell us your situation

WhatsApp or the form — a few sentences is enough. A real person replies the same working day.

2. Fixed quote in writing

One price for the job, confirmed before anything starts. Complex case? We say so now, not on the invoice.

3. Records over WhatsApp or portal

Photos of documents are fine. We chase whatever's missing — that's part of the job, not yours.

4. Approve, we file, you're done

You review everything first; filings go to HMRC or Companies House electronically with same-day confirmation.

Terms you'll meet along the way

UTR

Your Unique Taxpayer Reference — the 10-digit number HMRC issues when you register for Self Assessment. Lifelong, and needed for every return.

Payments on account

Advance payments toward next year's tax, due 31 January and 31 July, triggered once your bill passes £1,000. The first year they apply effectively bills 150% at once.

SA100

The main Self Assessment return form. Supplementary pages bolt on for employment, self-employment, property, capital gains and foreign income.

Balancing payment

The difference between what your payments on account covered and what the year's tax actually was — settled each 31 January.

Reconciliation

Matching your books to the bank, transaction by transaction — the discipline that makes every other number trustworthy.

Chart of accounts

The category structure your transactions are coded into. A generic one makes reports vague; a tailored one makes them useful.

Aged debtors/creditors

Who owes you and whom you owe, banded by how overdue — the two lists that predict cash flow problems before the bank balance does.

Questions

Accountants for taxi drivers: your questions answered

Mileage rate or actual costs — which saves me more?

High-mileage drivers in efficient cars often win with the 45p/25p simplified rate; drivers with expensive finance, insurance or repairs often beat it with actual costs (business proportion of everything, plus capital allowances on the vehicle). The catch: the choice sticks for that vehicle, so we run the comparison before the first return, not after.

Uber reports my earnings to HMRC — what exactly do they see?

Platform reporting rules give HMRC your identity and annual earnings from each app. If your returns match, it's invisible. Drivers who've worked unregistered for a while should regularise voluntarily — the maths of coming forward beats every alternative, and we handle the catch-up returns routinely.

Can I claim my licence, medical and vehicle checks?

Yes — private hire licence fees, medicals, DBS checks, MOTs and plate fees are all allowable, along with dash cams, valeting, and the business share of your phone. Under actual-costs, so are finance interest and depreciation via capital allowances. These add up to real money against a 20%–40% marginal rate.

Do sole traders legally need accounts?

There's no Companies House filing for sole traders, but you must keep records supporting your Self Assessment — and proper accounts almost always save more tax than they cost, because expenses stop slipping through the cracks.

What expenses can I claim?

Anything wholly and exclusively for the business: materials, tools, mileage or vehicle costs, phone, insurance, home-office use, software, professional fees and more. Our job is claiming everything legitimate — clients are usually surprised by what they'd been missing.

What does the £129 fee include?

Preparation and online filing of your full SA100 return, including the supplementary pages your situation needs. If your return is more complex — rental income, capital gains — the packages above show the fixed price, and we confirm it in writing before starting.

I've missed the deadline — can you still help?

Yes. Late returns are common and fixable: we prepare and file the outstanding return quickly, and where there's a reasonable excuse we help you appeal penalties. The sooner it's filed, the sooner the penalties stop growing.

What is a UTR exactly?

Your Unique Taxpayer Reference — a 10-digit number HMRC issues when you register for Self Assessment. You can't file a return, join CIS or appoint an accountant to act for you without it. It's yours for life, like a National Insurance number.

Is there a deadline for registering?

Yes — 5 October after the end of the tax year you first had income to declare. Go self-employed in, say, June 2026 and you must be registered by 5 October 2027. Miss it and file late, and the penalties compound. Registering takes days; leaving it doesn't help.

Which bookkeeping software do you use?

Xero, QuickBooks or FreeAgent — whichever suits your business (or whichever you already use). Software subscription can be included in your monthly fee, and we handle all the setup and migration.

What counts as a transaction?

Each line on your bank statement — a payment in or out. Most one-person businesses sit comfortably under 50 a month. If you drift over your band we'll tell you before the fee changes, never after.
